A national communications firm was seeking a solution to replace an employee cash reimbursement program for fuel expenses and transition to a fuel credit card program to control and mange predetermined fuel stipends.
Business Needs: A news marketing firm wanted to transition from a labor intensive cash reimbursement process to a fuel credit card program to provide 5,000+ territory representatives with a predetermined monthly fuel stipend. The goal was to reduce fuel and administrative costs and allow their representatives to be able to make fuel purchases without the need to pay out of pocket. In addition, they needed a very controllable program offering national acceptance, real-time online account access, the ability to change card purchase limits every cycle period based on the average regional price per gallon, and needed a 13 calendar cycle year vs. monthly calendar card resets.
Solution:
The CSI MasterCard Corporate Fleet Card was implemented to over 5,000 territory representatives. A process was established to calculate the average price per gallon using CSIs SmartBuy system. Based on this process the firm was able to determine the average price per gallon in each region to facilitate monthly card reset amounts to each of their territory representatives. The program was further customized to allow for 13 calendar cycle resets vs. the standard 12 month calendar resets available.
